Defining and Managing Teams

If you are working with large Kanban boards involving multiple teams, you are sure to find the 'Defining Teams' feature very useful. SwiftKanban allows grouping members in 'Teams' and using the 'Team List' filter on the Kanban board and Reports to track the progress of cards assigned to a specific team.

After you add users into SwiftKanban, you can group them into teams.  You can include a user into multiple teams such as Developer Team, QA Team, and so on.

Creating a Team

To define a team at the Enterprise level:
  1. Navigate to the People view from the Main menu and click the Team icon on the Auto-hide toolbar on the left edge.
  2. Click 'create one now' to create the first team in your enterprise. If you have already created the first team, click Add New Team row. Enter the Team name and its description.
  1. From the Available Members pane, drag the required user and drop into the Selected Members pane. To locate the user, scroll the list box or type the search string in the Search box of the pane. As you type, the list box displays the matching users along with the profile picture in the pane.
  1. Click the Close icon on the right corner.
The team is created and listed in the Team view.
On clicking the newly created Team row, you can view the selected members along with the profile picture and to hide the member list, click the Collapse icon for the team.

Editing a Team

To add or remove users a team at the Enterprise level:
  1. Click Edit for the required team in the People >> List of Teams view.
  2. From the Available Members list, select users and drop them into the Selected members pane. To remove a user, from the Selected Members pane, select the required user. Drag and drop the user in the Available Members pane. To locate the users in the pane, scroll the list box or type the search string in the Search box of the pane. As you type, the list box displays the matching users along with the profile picture in the pane.
  3. Click the Close icon on the right corner.
Click the modified team row to view the edited user list.



To rename the team, click Edit for the team. Edit the team name and click the Close icon on the right corner.

To delete the team from the enterprise, click Delete for the required team. After confirmation, the team will be deleted permanently and users tagged to the Team will no longer belong to the deleted team.

Teams Available in Projects

Team Member Invite: After teams are defined in the enterprise, these can be used to filter team members based on specific teams when inviting the team members into projects. For example, in the Team List Filter select Testing and Automation. The list displays users selected in the Testing and Automation teams.
The Team Members page also displays the Team List filter box to filter the list to view team members belonging to specific teams. See Team Setup page for more details.



Board Filter: Using the filter, you can view only those cards that are assigned to the team members belonging to the teams you select in the Filter. The team members who belong to a team and assigned in your project, cards for only those teams will be displayed on the board. See Board Filter for more details.

Status Reports: In Status reports, you can view reports for the team members belonging to the teams you select in the ‘By Team List’ filter. See Reports for more details.
